Apni Pathshala VED | Standard Operating Procedure
Purpose
This SOP guides POD Leaders step by step through filling and submitting the Weekly Insights form on the Apni Pathshala VED. Weekly Insights must be submitted every week to track POD activity, learning outcomes, and challenges. Approved weekly insights are also required before you can submit Monthly Insights.
How to Access
- Log in to the Apni Pathshala VED
- Go to Weekly Insights from the left sidebar
- Click “New Weekly Insight”
IMPORTANT: The form auto-saves your progress as a draft. You can close the page and return your answers will be restored automatically.
Section 1 of 5 — POD & Reporting Period
Field: POD Name
- Select your POD from the dropdown.
- If you manage only one POD, it will be auto-selected and you may not be able to change it.
Field: Submitted Name
- Your full name.
- Auto-filled from your account — edit only if submitting on behalf of someone else.
Field: Week
- Select “This week” (current week) or an admin-enabled week.
- A green ✓ means that week already has a submission.
- A red ✗ means it is pending.
- You can only submit for the current week or a week unlocked by your admin.
Field: Week End Date
- Read-only.
- Automatically calculated as 7 days after the start date.
- No action needed.
Field: POD Status During This Week ★ REQUIRED
- Select one:
- ACTIVE — POD was running classes normally during this period.
- INACTIVE — POD was closed or not operating (e.g. holiday, exam break, infrastructure issue).
NOTE: If you select INACTIVE, all other sections are disabled. You only need to fill the POD Status Comment below and submit.
Field: Comment on POD Status ★ REQUIRED
- Required for both ACTIVE and INACTIVE.
- ACTIVE example: “Classes ran normally all 5 days this week. Good attendance.”
- INACTIVE example: “POD was closed from Monday to Friday due to the local Diwali festival.”
TIP: Even if the POD was inactive for just one day, select ACTIVE and explain in the comment.
Section 2 of 5 — Weekly Activity Overview
(Disabled if POD Status = INACTIVE)
Field: Average student count (daily)
- How many students attended on average per day this week?
- Calculation: Add daily attendance for each active day, then divide by the number of active days.
- Example: Mon=30, Tue=28, Wed=25, Thu=30 → (30+28+25+30) ÷ 4 = 28.25 → enter 28
Field: Active days
- Number of days classes were actually conducted (not cancelled or holiday).
- Typically 5 for a Mon–Fri POD.
- Enter the actual number even if lower.
Field: Total classes conducted
- Total number of class sessions held during the week.
- Could be more than active days if multiple sessions run on the same day.
- Example: 2 sessions per day for 5 days = 10 total classes.
Field: Total hours of classes
- Total teaching time in hours.
- Decimals are allowed.
- Example: 9 hours 30 minutes = enter 9.5
Field: What did you teach this week? (Topics) ★ REQUIRED
- List all topics, concepts, or subjects taught.
- Be specific.
- Poor: “Computer basics.”
- Good: “MS Word — formatting text, inserting headers, creating tables.”
- If multiple subjects: “Morning session: Typing practice (30 wpm target). Afternoon: MS Excel — SUM and AVERAGE formulas.”
Field: Key achievements of this week ★ REQUIRED
- Highlight wins, breakthroughs, or positive stories from the POD.
- Examples:
- “Ravi submitted his first independently typed document today.”
- “3 students achieved 30 wpm typing speed — up from 20 wpm last month.”
- “Anita successfully set up a Gmail account and sent her first email.”
- Even small wins count.
- This data is used for impact reporting.
Section 3 of 5 — Learning Feedback & Support
(Disabled if POD Status = INACTIVE)
Field: Student engagement level ★ REQUIRED
Select one level that best describes students this week:
- Low engagement — students distracted, unresponsive, or absent in large numbers
- Moderate engagement — some participation, some distraction
- High engagement — most students actively participating
- Very high engagement — near-full participation, enthusiastic learning
Field: POD satisfaction level ★ REQUIRED
Rate overall POD progress this week on a scale of 1 to 5:
- 1 = Needs major improvement
- 2 = Below expectations
- 3 = On track
- 4 = Strong progress
- 5 = Excellent progress
Field: Comment on POD satisfaction level ★ REQUIRED
Explain your rating in 1–3 sentences.
Example (rating 4):
“Students are progressing well with MS Office skills. Attendance is consistent and engagement is high. A few students need extra support with Excel formulas.”
Field: Did students complete assignments, projects, or practicals?
- Select Yes or No.
- If YES, an “Assignment details” box appears — briefly describe what was done.
Example:
“Students completed a MS Word formatting assignment — creating a formatted one-page document with headers, bullets, and tables.”
Field: Learning resources shared ★ REQUIRED (select at least one)
Check all resources shared with students this week:
- Notes (printed or digital handouts)
- AI tools (ChatGPT, Gemini, NotebookLM, etc.)
- YouTube material (tutorial videos)
- Other — if selected, a text box appears. Describe the resource (e.g. “Printed Canva guide from Apni Pathshala”)
Field: Comment on learning resources ★ REQUIRED
Describe what worked well or what needs improvement.
Example:
“YouTube tutorials on MS Excel were very effective. Students watched and then practiced immediately. Notes were distributed for take-home reference.”
Field: Assessment or exam conducted? ★ REQUIRED
- Select Yes or No.
- Required comment appears regardless of answer.
If YES:
- Describe what assessment was done and how students performed.
If NO:
- Explain why not and what is planned.
Examples:
- No: “No formal assessment this week. Planning a typing speed test next Friday.”
- Yes: “Conducted a 10-minute MS Word practical test. 18 out of 22 students passed with 70%+ marks.”
Field: PC complaints?
- Select Yes or No. (PC = Parent/Community complaints)
- If YES, a dropdown appears to link an existing open complaint.
- You can also click “+ Add New Complaint” — this saves your draft and takes you to the Complaints module.
- After filing the complaint, return to finish your report.
Field: Curriculum Request / Feedback (Optional)
Use this to request specific curriculum from Apni Pathshala or share feedback on existing curriculum.
Example:
“We need curriculum for Canva for students interested in graphic design.”
Field: Student needs from Apni Pathshala (Optional)
Describe specific things your students need from AP.
Example:
“Two students need a laptop to practice at home — can AP arrange access?”
Section 4 of 5 — Challenges Faced
(Disabled if POD Status = INACTIVE)
Field: Attendance issues ★ REQUIRED
Select the main reason for any attendance drop (or select “No issues”):
- No issues — attendance was normal
- Festivals — local festival or holiday
- Exams — school exams caused absences
- Personal work — students absent for personal/family reasons
- Other — describe in the text box that appears
Field: Challenges faced (select all that apply)
Check all challenges you encountered this week:
- Tech issues (device failures, power cuts, internet down)
- Syllabus coverage (falling behind the planned curriculum)
- Student interest (motivation or engagement problems)
- Network issues (internet connectivity problems)
- Curriculum support (need content, materials, or guidance from AP)
- Other — describe in the text box
NOTE: Apni Pathshala currently offers ~12 different curriculum options. If you need curriculum support, select that option and describe what you need in the comment below.
Field: Comment on challenges ★ REQUIRED
Describe the challenges in detail and any support you need.
Example:
“Internet was down on Tuesday and Wednesday (2 full days). Conducted offline practice with printed worksheets. Request AP to provide offline curriculum materials as a backup.”
Section 5 of 5 — Evidence
(Disabled if POD Status = INACTIVE)
MANDATORY: Active POD insights MUST include at least:
- 1 photo (minimum)
- 1 video (file OR link — at least one)
Without these, your report cannot be submitted.
Field: Photos ★ REQUIRED for Active PODs
- Upload up to 10 photos from this week’s classes.
- You can also pick from the Media Library (photos uploaded during the selected week without re-uploading).
- Good photos: students working at computers, group activities, whiteboard sessions.
Field: Videos (Files)
- Upload up to 10 video files showing classroom activity.
- Alternative: paste video links in the Video Links field below.
Field: Video Links (Alternative to video files)
- Paste YouTube, Google Drive, or other shareable video links — one per line.
- Use this option if your video is larger than the upload size limit.
Example:
MEDIA LIBRARY TIP: If you uploaded photos or videos earlier in the week (e.g. through the media upload feature), you can pick them from the Media Library without uploading again. This saves time and avoids duplicate uploads.
Submitting Your Report
- Review all sections for completeness.
- Click “Submit Report” at the bottom.
- If any required fields are missing, the form will highlight the errors and scroll to the first problem field. Fix all errors and try again.
- On success:
- You will see a confirmation message.
- You will be redirected to the Weekly Insights list.
After submission, your report goes to the admin for review.
Possible Statuses After Submission
- Submitted — waiting for admin review
- Approved — report accepted ✓
- Need Edit — admin has sent feedback. Open the report, read the feedback (shown at the top), make the required changes, and resubmit.
Common Mistakes to Avoid
- Submitting with 0 in all activity fields — fill actual numbers, even if small.
- Writing vague topics like “computer basics” — be specific about what was actually taught.
- Forgetting to upload at least 1 photo and 1 video — report cannot be submitted without evidence.
- Selecting INACTIVE when the POD was active for even part of the week — select ACTIVE and explain in the status comment.
- Leaving satisfaction comment blank after selecting a rating — both are required.
- Submitting for a week that already has a report — check for the green ✓ before selecting the week.
- Forgetting to link or create a complaint when PC Complaints = Yes — always log it for tracking.

- If your draft was lost, check the draft auto-restore — it appears automatically when you reopen the form for the same POD and week.
