Post-KYC Meeting with the POD

Goal:
To engage with new POD applicants, understand their area and student demographics, and ensure they have the right learning setup and plan before launching.

Meeting Duration: 1.30 Hours
Madhur’s Involvement: Joins after 20 minutes


Part 1 – Initial Discussion (0–20 minutes)

Led by: NIRAJ / Main Coordinator

Introduction:

  • Brief introductions by all attendees.

Know the Organisation:

  • What does your group or NGO do?
  • What previous work have you done in education or community initiatives?
  • Why do you want to open an Apni Pathshala POD?

About the POD:

  • Where will the POD be located (city, village, or tribal area)?
  • What age group of students will be taught at the POD?
  • What is the current setup (classroom, electricity, computers, internet, etc.)?

Team Information:

  • Who will be teaching or guiding the students?
  • Do the teachers or team members have basic computer skills or familiarity with digital tools?

Part 2 – Madhur’s Discussion (20–45 minutes)

Led by: Madhur Haryan

A. Understanding the Students’ Needs:

  • What kind of students are attending your POD (school-going, dropouts, or a mix)?
  • What subjects or areas do students find most difficult to learn?
  • What are the primary learning needs of the students in your area?
    (e.g., Basic computer and digital learning, school subject help, job or skill training, creative or project-based learning)
  • What challenges do students face in their learning?
    (e.g., electricity, device shortage, family support)
  • Do students have access to a phone or computer at home? If so, can it be used for learning?                    
  • What language do the students understand best? (Hindi, English, or local language?)

B. Understanding the Curriculum:

  • Do you currently follow a fixed learning plan or syllabus?
    If yes, who developed it, and how do you implement it?
  • If not, would you like Apni Pathshala to share a base curriculum?
  • If provided with the curriculum, can your teachers effectively follow it?
  • Do you think any topics should be simplified or localised for your students?
  • Are students given certificates or reports at the end of the course?
  • Can you share simple weekly data on attendance, topics covered, hours, and any issues?

C. Key Expectations from the POD

In addition to discussing the POD’s setup and curriculum, we will also clarify the key reporting and documentation expectations moving forward. These include:

  1. Weekly Reports:
    • Each POD is expected to submit weekly progress reports, including details on attendance, topics covered, hours spent, and any issues encountered during the week.
  2. Monthly Reports:
    • A monthly report is required, summarising the overall progress, challenges, and achievements over the month. This will be essential for ongoing monitoring and support.
  3. Success Stories:
    • PODs will be asked to collect success stories from students, showcasing their learning journey and achievements. These stories help highlight the impact of digital education and will be used for further promotion of Apni Pathshala’s work.
  4. PC Complaint Templates:
    • If there are any issues with the PCs (e.g., technical problems, hardware failures), PODs are required to use the PC complaint template and submit it to the technical team with photos or videos to assist in troubleshooting and resolution.
  1. Tell Them About PMS:
    Share details on the progress, including attendance, topics covered, hours spent, and any issues encountered during the week. These reports are essential for tracking the progress.

Meeting Outcome:

  • Gain an understanding of the students’ background and their educational needs.
  • Assess whether the POD has or can implement the appropriate curriculum.
  • Determine whether the POD is ready to start or if additional support is required.

Next Steps:

  • If the POD requires a curriculum, Madhur will share the relevant materials.
  • If student details are unclear or need further discussion, schedule a brief follow-up call.
