Usefull Tools and Templates

Purpose

These are the standard tools and templates provided by Apni Pathshala during the incubation phase. These resources help you complete your weekly and monthly responsibilities correctly and on time.

Why Tools & Templates Matter

  • Consistency: Ensures all POD leaders submit information in the same format.
  • Clarity: Makes it easier for coordinators to review and track progress.
  • Efficiency: Saves time by giving you ready-made structures instead of starting from scratch.
  • Record Keeping: Keeps all reports, data, and media files organised for future reference.

Main Tools & Templates Provided

1. Weekly Update Template

  • Purpose: Used to share your weekly class update with the POD team on the WhatsApp group.
  • Contents:
    • 6 standard questions about class activities, student progress, and challenges.
  • Format: WhatsApp message in your respective Group.
  • How to Use:
    • Fill in all fields every week.
    • Attach or link the required two weekly videos (1 student learning + 1 content guide).
    • Submit by the agreed weekly deadline.

2. Monthly Report Format

  • Purpose: Summarises all activities, updates, and performance for the month.
  • Contents:
    • Summary of classes conducted.
    • Total students taught.
    • Attendance details.
    • Highlights, challenges, and solutions.
  • Format: Word document.
  • How to Use:
    • Complete and submit by the 28th of each month.
    • Double-check details for accuracy before submission.

3. Student Data Collection Format

  • Purpose: Collects and maintains important details about your students.
  • Contents:
    • Student name, age, and class level.
    • Attendance records.
    • Progress notes (optional).
  • Format: Shared Google Sheet.

    • Update monthly.
    • Ensure all names are spelt correctly and data is accurate.

4. PC Issues Complaint Filing

  • Purpose: To file a complaint about any PC related issue.
  • Contents:
    • POD Information: Minimum information we need to process your complaint.
    • Issue Summary: Detailed information about the issue you are facing. Note: These should be in detail, so that we can resolve your issue as fast as possible.

Accessing the Tools & Templates

  • All templates are stored in the Shared Drive.
  • Your coordinator will give you access at the start of incubation.
  • Keep the files organised and do not rename shared templates.

Keeping Templates Updated

  • Always use the latest version of a template (you can always get the updated template from your coordinator).
  • If you notice missing or outdated fields, inform your coordinator.
  • Do not make permanent changes to the shared master file; instead, use your own copy if needed.

Best Practices for Using Tools & Templates

  • Save a personal copy of submitted reports for your own records.
  • Check submission deadlines regularly.
  • Maintain good internet connectivity before filling out and submitting forms.
  • Fill reports in one sitting to avoid missing data.
