Purpose #
Here, it explains what happens at the end of the incubation phase. It tells you when the final evaluation occurs, what is checked, how decisions are made, and what you should do to prepare so your POD can move forward smoothly.
When the Final Evaluation Happens #
- The final evaluation happens at the end of Phase 0 of incubation.
- Phase 0 can last up to 6 months.
- In rare cases, a buffer month may be given only if needed before the final decision.
What the Team Reviews #
The team reviews your POD’s progress using the areas already checked during incubation:
- Setup quality and completion – Are all PCs installed, banner placed, space clean and ready?
- Update and video consistency – Have weekly updates been shared regularly and videos submitted as required?
- Content quality – Are videos clear, show real teaching, and active student interaction?
- Teacher involvement – Is the teacher active, communicative, and consistent?
- Student engagement – Are different students shown regularly and participating?
- Responsiveness and communication – Are replies timely? Is reporting complete and cooperative?
These are the same core evaluation criteria you worked on during incubation, reviewed together at the end for the final decision.
How the Final Evaluation Works #
- The coordinator compiles evidence
Your incubation coordinator gathers your weekly updates, videos, monthly reports, student data, and any notes from follow‑ups. - Internal review
The team reviews your POD’s consistency, quality, responsiveness, and setup status together. - Team meeting and decision
The final recommendation is discussed and reviewed in a team meeting before it is shared with you. - Communication to POD leader
You will be informed of the final outcome and any next steps.
Possible Outcomes #
- Promote to Full POD
Your POD met the required standards of setup, consistency, quality, and communication. You move ahead. - Extend Incubation (rare)
If some standards are not yet met, incubation may be extended for a short period to complete the requirements. - Recommend Closure
If performance is consistently weak and issues remain unresolved, closure may be recommended. This decision is reviewed in a team meeting.
If You Are Asked to Improve (Before Decision) #
- Fix setup or technical issues as soon as possible.
- Submit any missing updates or videos immediately.
- Keep communication clear and consistent with your coordinator until issues are closed.
